Synigrate is a mobile application developed by HSE and provided to employees by their organization. This policy explains what information the app accesses, how it is used, and your rights as a user

1. Who this policy applies to

This policy applies to employees and staff who use Synigrate as provided by their employer. The app requires a valid company account on an Odoo server to function and is not available for general public use.

2. Information we access

• Your name and work email address
• Attendance records (check-in and check-out times)
• Leave and time-off requests and balances
• Sales activities assigned to your account
• Business contact information stored in your company’s Odoo system
• Your company’s Odoo server address

3. How your information is used

All information is used exclusively to provide the core features of Synigrate: attendance tracking, leave management, sales activity tracking, and contact access. Data is synced in real time with your company’s Odoo server. Synigrate does not independently collect or store information beyond what is needed for your active session.

4. Information sharing

We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes. Information is transmitted only between the Synigrate app and your company’s Odoo server. Your employer, as the owner of the Odoo instance, controls and is responsible for the data stored on their server.

5. Data security

All communication between Synigrate and your company’s Odoo server is encrypted using HTTPS. Login credentials are stored securely on your device using the Android system’s secure storage and are never transmitted to any server other than your company’s designated Odoo instance.

6. Biometric authentication

Depending on your organization’s configuration, attendance check-in and check-out may use fingerprint or face recognition for verification. This authentication is processed entirely on your device using the Android system’s built-in biometric API. No biometric data is ever transmitted to, or stored on, Synigrate’s systems or your company’s Odoo server.

7. Data retention and deletion

Synigrate does not independently retain personal data after your session ends. All records are stored on your company’s Odoo server. Attendance and activity data is automatically deleted after 90 days. The app does not currently provide an in-app option for users to manually request data deletion; employees who wish to request earlier deletion of their data should contact their company’s HR or IT administrator directly.

8. Your rights

You may request access to, correction of, or deletion of your personal data at any time by contacting your company’s HR or IT administrator, since your employer is the data controller for information stored in your organization’s Odoo system. Uninstalling the app removes all locally cached data from your device.

9. Children’s privacy

Synigrate is intended for use by adults (18 years and older) in a professional workplace context. It is not directed at children and we do not knowingly collect data from children.

10. Changes to this policy

We may update this privacy policy from time to time to reflect changes in our practices or for legal and regulatory reasons. The “last updated” date at the top of this page will reflect the most recent revision.
